Information we collect
We collect information you choose to provide when you register interest, apply to Venture Teams, enquire on behalf of a company or university, or otherwise communicate with us.
This may include your name and contact details, university and course information, skills and experience, application responses, links or documents you choose to provide, information about a company or proposed project, availability, and correspondence with Venture Teams.
If you are selected for paid work through Venture Teams, we may also collect additional information reasonably required to establish and administer the employment relationship, payroll and the programme.
How we use your information
We use personal information to:
- assess and administer student applications;
- respond to company, university and partnership enquiries;
- select and construct Venture Teams;
- scope and administer company projects;
- establish and manage employment and payroll where a student is selected;
- communicate with participants and organisations involved in the programme; and
- maintain appropriate operational, legal and security records.
Depending on the activity, we rely on one or more of the following lawful bases: taking steps at your request before entering into a contract, performing a contract, complying with legal obligations, and our legitimate interests in operating, evaluating and protecting Venture Teams and administering a fair recruitment and programme process.
Where we rely on legitimate interests, those interests include assessing applications and enquiries, operating the programme, maintaining appropriate records, improving its administration and protecting Venture Teams against legal or security risks.
You have the right to object to processing based on our legitimate interests.
Who can access your information
Access within Venture Teams is restricted to authorised personnel who require the information to administer the relevant application, enquiry or programme activity.
Venture Teams currently uses Google Workspace and Google Forms to receive and administer applications and enquiries. These forms and their resulting records are owned by the Venture Teams Google Workspace account.
We may also use service providers required to operate the business, including website hosting, payroll, accounting, insurance, legal and other professional providers where relevant.
Where a student is selected for a Venture Team, information reasonably required to administer the assignment may be shared with the relevant host company.
Corporate partners and sponsors do not receive automatic access to student applications or candidate information and do not receive preferential recruitment access through Venture Teams.
We may disclose information where required by law or where necessary to establish, exercise or defend legal rights.
How long we keep information
Applications from students who are not selected are normally retained for 12 months after the relevant selection decision and are then deleted or anonymised unless there is a legal reason to retain them for longer.
Company, university and partnership enquiries that do not result in an ongoing relationship are normally retained for 12 months after the last substantive contact.
Where an employment, project or commercial relationship is established, some records may need to be retained for longer to meet employment, payroll, tax, accounting, contractual or legal obligations. Those records are kept only for as long as the relevant purpose or legal requirement continues.
International processing
Some technology providers used by Venture Teams may process information outside the United Kingdom.
Where personal information is transferred internationally, we require an appropriate mechanism recognised by UK data protection law, such as applicable adequacy regulations or contractual safeguards.
You may contact us if you would like further information about the safeguards applying to a particular service provider.
Your rights
Depending on the circumstances, you may have the right to request access to your personal information, correction of inaccurate information, erasure, restriction of processing, objection to processing, and portability of information.
Where we rely on consent for a particular activity, you may withdraw that consent at any time without affecting processing that occurred before withdrawal.

You also have the right to complain to the Information Commissioner's Office if you believe your information has been handled unlawfully.
Required information and automated decisions
Fields marked as required on an application or enquiry form are necessary for us to assess or respond to that submission. If required information is not provided, we may be unable to process the application or enquiry.
Venture Teams does not use solely automated decision-making to select, reject or score applicants. Selection decisions are made by people.
Cookies, analytics and website logs
Venture Teams does not currently use advertising pixels, behavioural analytics, newsletter tracking or other non-essential website tracking.
Our website hosting provider may process standard technical request information, such as IP addresses, browser information and request logs, where necessary to operate and secure the website.
Links from this website may take you to Google Forms hosted by Google. Google may process information and use cookies in accordance with the settings and terms applying to those services.
We will update this notice if the way Venture Teams collects or uses personal information materially changes.
